Speaker & Program Manager

  • I managed and curated the 200 speakers, dealt with all enquires, organised business meetings (including multilateral appointments) and supported speakers with their abstracts, lectures and workshops (including their materials)
  • I designed the festival program and kept it up to date on the website and festival app
  • I managed the travel and accommodation arrangements for all speakers, traveling across the globe to Graz. (I oversaw my assistant who dealt with this)
  • I managed the speaker travel budget (€100,000) and helped process invoices
  • Organised all the speaker data and festival program information on our database system, as well as dropbox and G-Drive
  • Collected all our speakers' and sponsors' photographs, videos, abstracts, presentation files, workshop materials and ensured they were accessible to the entire team. This also including ensuring all workshop materials were in the workshop rooms ahead of the scheduled workshops (pens, paper, flipcharts etc...)
  • I helped with onboarding new members as most of the team were seasonal workers. This also included my assistant
  • The job required confidence in using systems such as LinkedIn Salesnavigator, Meetalfred and Notion, as well as strong written and spoken communication
  • In addition, I also curated side events, such as FS Sports which is part of Erste Bank Open, Austria's largest tennis tournament, and FS Alps, which are leadership programmes in the Austrian alps
  • During the festival, I was also in charge of greeting all the speakers and maintaining speaker relations, including networking opportunities

  • I managed the Friends online membership scheme. This was largely database and administration work (Salesforce) and required processing all new members, as well as membership cancellations
  • My duties included managing telephone and email enquiries, producing formal correspondence for our more generous donors, copywriting for the website and social media, and producing the fortnightly newsletter
  • I was also required to research membership structures, crowdfunding campaigns and alumni successes; and produce project proposals and funding applications
  • I managed the Friends Membership finance (monthly) and processed the Quarterly Gift Aid (for HMRC)
  • I was in charge of Friends membership reports, and kept the database up-to-date (this included statistical reports - eg. how many new members joined monthly versus how many cancelled)
  • I helped with organising literary events: sending out the invitations, managing RSPVs and performed the ‘meet and greets'
  • I proofread reports and applications; produced email templates and sent larger quantities of emails via iContact and the Salesforce integrated system (similar to MailChimp); and scheduled social media posts (Lightful).

  • I also supported the Dementia training program by booking attendees, booking venues, setting up the room prior to workshops, providing workshop materials and equipment, and helping with with the training sessions

  • I studied dance at LABAN, have two degrees in literature, worked for Arvon for several years, and teach literature and linguistics (from GSCE to BA level)
  • There is nothing I love more than seeing live music, dance and opera, as well as film screenings - from tiny independent cinemas, to IMAX, to BFI London Film Festival

Hobbies

Hiking, yoga, cycling, going to the cinema, opera, ballet, theatre. I love stories in every form: books, films, video games. I'm also very into science, especially medicine and environmental science, and often read New Scientist or scientific papers, and attend lectures on these topics.
